Contract Support Coordinator

We are looking for a dedicated individual to take ownership of this role and manage the end to end process.

This role will coordinate the back-office work to ensure autonomy of process for the customer, including minute taking or tracking of key activities, to always enable the smooth running of the contract.

To succeed in this role you will need to enjoy working within a fast-paced environment, be very organised and methodical in all approaches, and capable of ensuring compliance with business procedures are followed.

Key duties –

• Provide administrative support for our largest contract primarily, working closely with the operational teams to ensure we maintain high administrative standards
• Respond to enquiries via telephone and email, pass information on appropriately and ensure that support is provided along with an excellent standard of customer service both internally and externally
• Update CRM system with key information on contract activity, ensuring it is always up-to-date
• Attend and minute contractor meetings, and distribute minutes for sign off along with the agreed reports
• Ensure that all third-party facilities management service tickets for callouts are correctly recorded on our service management system and the Contracts Manager is aware. Once works are completed, ensure that all appropriate systems are updated

What we need from you –

• Demonstrable experience within a fast-paced administrative role
• Computer literate with a good working knowledge of Microsoft Office including Outlook, Excel, Word and PowerPoint
• Proven experience of working in a busy and commercial environment
• Excellent communication skills both written and verbal with a courteous and customer-focused approach
• Attention to detail with particular focus on reporting, quality of accurate information and ability to proofread documents before submission
