Location: London, Hybrid (minimum 2 days a week in the office)

The Retail Projects Assistant Mission:

To support the Retail Property team by ensuring the seamless upkeep and proactive maintenance of our retail portfolio across the UK, Europe, and the United States, driving operational excellence and supporting the continued growth of the brand, with a particular focus on facilities and maintenance.

How you’ll drive success:

Reactive and Planned Preventative Maintenance

• Act as the main point of contact for all stores when facilities or maintenance issues arise, working with contractors and external partners to ensure issues are resolved.
• Manage the Property Inbox and all requests/inquiries, updating progress trackers and sharing with relevant internal teams.
• Oversee the planned preventative maintenance program to ensure all stores meet H&S requirements and certifications.
• Coordinate suppliers and their contracts, ensuring the best quotes and service levels for the stores.
• Set up utility contracts for new stores and renewals for current stores.

Store Openings & Closures

• Participate in feasibility studies, vendor selections, and tenders for evaluation by key stakeholders.
• Support new store openings and closures as needed.
• Source, negotiate prices, and set up facilities and maintenance, security system, and fire risk vendors in all new regions.

Budget Management & Spend Tracking

• Manage invoices from suppliers, ensuring accuracy, managing accounts, and tracking payments.
• Track and manage all maintenance-related costs, supporting property budget management.

Store Works

• Support snagging works, facilities management, and general admin for existing stores.
• Assist with planned building improvements and refreshes.

What you’ll need to thrive:

• Previous experience in retail, office, or property maintenance roles.

• Strong communication and collaboration skills.
• Interest in store design, operational excellence, and retail processes.
• Ad hoc travel may be required.
