AJ Chambers are working with a top Boutique City Law Firm who are expanding their HR Team with a Senior Administrator.

The firm is looking for someone with good experience in HR and professional services, who has worked in a busy and pro-active role which will enable them to work hands-on and use their initiative to assist in providing an excellent level of client care.

Main tasks include:

• To provide an effective and full HR administration service relating to the employment lifecycle.
• Carry out general administration tasks for the HR Department, for example, managing any HR related documentation, telephone answering, devising standard Human Resources documents and letters and to manage the Head of HR’s inbox and own HR inbox.
• Respond to reference requests for current or ex-members of staff.
• Ensure electronic and paper-based personnel files are maintained and filing/archiving is completed in a timely manner.
• To ensure accurate HR records on all employees including full-time, part-time and any hourly paid staff.
• To manually calculate holiday and sickness and compare these against the HRIS where required.
• Monitoring and managing sickness absence (short term/long term/PHI claims) and maternity/paternity/shared parental leave process with guidance from the Head of HR where required.
• Responding to general HR inbox queries, ensuring all queries are responded to in a timely manner, assigned/escalated as appropriate.
• Maintain and update the HR Manual.
• To review, develop and implement HR related policies and procedures based on the changing needs of the Firm and changes to legislation.
• Learning about and keeping up to date with developments in HR and relevant employment law.
• Complying with the policies and procedures, professional standards and any other requirements set by the SRA (Solicitors Regulation Authority).
• Assist with the Firm’s annual appraisal cycle, record completed appraisals and training needs.
• Provide day to day advice to Partners, Line Managers and staff on general HR related queries, requests and Firm policies and procedures, escalating more complex issues to the Head of HR or relevant HOD.
• Assisting with ER related issues such as disciplinaries, grievances and redundancies by taking a full and accurate note of the meeting.
• Actively participate and be the HR representative on a number of Firm focus groups such as Health & Wellbeing, CSR etc.
• Liaising with colleagues and engaging and building strong internal relationships.
• Assist with monitoring and replying to emails sent to the HR and Recruitment mailbox.
• Undertaking periodic audits of HR documentation and processes.
• Providing administrative assistance to the Head of HR and the CEO including diary management and document production.

Recruitment

• Carry out all the administrative processes in the recruitment process, for example; organising interviews – coordinating diaries for interviewees and interviewers, room booking, and ensuring all interviewers have relevant paperwork.
• Ensure that the HR service undertakes all necessary employment checks including DBS checks and right to work, qualification and medical checks and references.
• Liaise with recruitment agencies and agree terms of business where appropriate.
• Log and respond to all CVs whether direct or from agencies and maintain the recruitment procedure document and maintain and update the recruitment trackers.
• Draft job descriptions where necessary.
• Update the intranet and work with the Business Development team to ensure the webpage and LinkedIn accounts are up to date.

On-boarding and Induction

• Administer the process for new employees and workers, for example, prepare contracts, offer letters and process all pre-employment checks.
• Conduct induction meetings with new employees and workers and liaise with Partner’s, Line Manager’s and mentors to ensure they are aware of their responsibility in the induction process.
• Administer and follow up on the probation process ensuring Partners know when review meetings need to take place and feedback is received.
• Roll out the induction e-learning package to new starters and administer e-learning accounts/statistics.

Pay & Benefits

• Ensure that all payroll instructions are prepared and logged in time for the monthly payroll run and submitted to the payroll bureau, for example, contractual variations, new starters, leavers, contractual benefits and staff benefits.
• With the support of the Head of HR assist in the annual salary review process and perform benchmarking exercises and prepare all paperwork.
• Update and maintain all benefit platforms including the Firm’s cycle to work scheme, season ticket loans, cash plan scheme and childcare vouchers. With these, to also be a point of contact for internal questions.
• Assist with yearly benefit renewals.
• Update and maintain the pension platform with new joiners, changes of address and leavers and the monthly pension uploads.

Skills and experience

Education, Training and Qualifications

• A good level of formal education including GCSE Maths and English is essential (Level 3 or equivalent).
• CIPD Level 3, Foundation Certificate in People Practice or equivalent.
• At least two years’ experience of working within HR.
• Previous experience of working in a legal professional environment.
• An enthusiasm and passion for HR and the legal sector.
• A sound understanding of current employment legislation.
• Ability to work autonomously.
• An excellent level of computer knowledge, keyboard skills and software (HR database and spreadsheet) expertise, Microsoft Word, Excel and databases are essential to enable report writing when required.
• Ability to manipulate datasets.
• Excellent written and oral communication skills.
• Excellent client care skills.
